Privacy Policy

How Sawyer Oakley & Associates collects, uses, protects, and shares information through our website and platform.

Last Updated: September 2026

Sawyer Oakley & Associates ("SOA," "we," "us," or "our") respects your privacy. This Privacy Policy describes how we collect, use, disclose, and safeguard information when you visit our website or use our client portal or debtor payment portal (collectively, the "Platform").

1. Information We Collect

Account & contact information: name, business name, email address, phone numbers, and mailing address — provided by clients when registering, placing accounts, or communicating with us, and by debtors when making payments or contacting our team.

Account file information: debt amounts, invoice details, debtor contact details (including secondary numbers, emails, and related parties), research notes, and supporting documents submitted with placed accounts.

Communications: messages sent through the Platform, and call recordings and text messages made through our telephony system, which we retain for quality, training, and compliance purposes.

Payment information: payments through the Platform are processed by our third-party payment processor. We do not store your full card or bank details on the Platform.

Usage information: standard technical data such as IP address, browser type, and pages visited, collected to operate and secure the Platform.

2. How We Use Information

We use the information we collect to: perform collection and asset recovery services; communicate with clients and debtors by phone, text, email, and portal messaging; process payments; maintain account records; comply with legal obligations; and improve our services.

3. Legal Basis for Processing

We process personal information to perform contracts (such as the representation agreement), to comply with legal obligations, and for our legitimate business interests in operating a professional collection practice. Where required by law, we obtain consent — for example, consent to receive calls and texts at the numbers you or your creditors provide.

4. Call Recording

Calls with debtors and clients may be recorded and transcripts may be stored on the account file. Recordings are used for quality assurance, training, dispute resolution, and regulatory compliance. Please see our Terms of Service for details on communications consent.

5. Sharing of Information

We share personal information only as needed to provide our services: with the client that placed the account (account status and activity), with service providers that help us operate (such as our payment processor, telephony provider, and email delivery service), with credit bureaus and skip-tracing data sources where lawful, and when required by law, subpoena, or court order. We do not sell your personal information.

6. Data Retention

Account records, communications, and payment history are retained for as long as necessary to provide services and satisfy record-keeping and statute-of-limitations requirements, after which they are securely deleted.

7. Security

We use administrative, technical, and physical safeguards — including encryption in transit, access controls, and role-based permissions — to protect information on the Platform. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

8. Your Rights

Depending on your jurisdiction, you may have rights to access, correct, or delete your personal information, and to object to or restrict certain processing. To exercise these rights, contact us using the contact information on this website. We will respond as required by applicable law.

9. Do Not Track & Cookies

The Platform uses cookies and similar technologies necessary for authentication and basic functionality. You can control cookies through your browser settings; some features may not function without them.

10. Children's Privacy

The Platform is intended for business use and is not directed to children under 18. We do not knowingly collect personal information from children.

We may update this Privacy Policy from time to time. The "Last Updated" date above reflects the most recent revision. We encourage you to review this page periodically.
